The QTI Group has partnered with a nonprofit organization to hire a temporary Administrative Assistant to support their sponsorship and exhibit space efforts during a busy conference season. This role is ideal for someone who thrives in a fast-paced, deadline-driven environment and enjoys managing details, solving problems, and working with a collaborative team. This position plays a key role in coordinating logistics for sponsors and exhibitors across 32 annual conferences.
This is a temporary position from mid-September through early March 2026.
The schedule is 30 hours per week, Monday-Friday, 8:30 a.m. – 3:00 p.m. with a 30-minute lunch. There is some flexibility with start and end times.
Pay is $22+/hr. depending on experience.
Responsibilities:
- Assist with logistics and implementation for conference sponsors and exhibitors, including invoicing, registration, and tracking attendees.
- Ensure sponsors submit all necessary items such as logos and badges.
- Coordinate updates to sponsor information for the website, signage, and conference app.
- Respond to and monitor vendor inquiries across 32 annual conferences.
Qualifications:
- High school diploma or equivalent is required.
- 2+ years of administrative experience is required.
- Strong attention to detail, organizational skills, and ability to work independently and collaboratively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office with advanced Excel skills; experience with databases or contact management systems is a plus.
